Online registration is now closed.
Only registration on a case-by-case basis is now possible, and subject to available seats. Therefore, you must first contact the organization team (info@kishi-lab.sakura.ne.jp) to check if there is an available seat for you.
Once your registration request is granted, we will invite you to proceed. Late registration fees apply.
Registration Policy:
There should be at least one full registration to the conference per accepted research paper. An author who registers should specify the paper title and paper number.
- To be included in the proceedings, there must be at least one full registration to the main conference or workshop per accepted paper (according to being accepted in the main conference or a workshop). An author who registers should specify the paper number in the fax field of the registration form, and send an email to the organization committee (info@kishi-lab.sakura.ne.jp) to notify us and clarify to which conference track or workshop that paper belongs to (as there is no unicity among all papers ids).
- An accepted industrial paper must have at least a full registration to the main conference.
- If you are student and the only author registered for an accepted paper, you must pay the full registration. If you are not the only registered author for that accepted paper and there is another full registration, then you are entitled to the Student fee (Main Conference – Student without paper in the table below). Please send the scanned proof of your status to info@kishi-lab.sakura.ne.jp to obtain the discounted student fee permanently.

Cancellation Policy
If a registrant is unable to attend an event for any reason, she/he may be replaced by someone else. An author should be replaced by another author of the same paper. The information should be sent to info@kishi-lab.sakura.ne.jp
When the registrant is unable to attend and is not in a position to transfer her/his registration to another person, then the following refund arrangements apply:
- Registrations canceled less than 14 days after the day of the registration are eligible for an 80% refund of the registration fees paid,
- No refunds are available for cancellations made after August 1st, 2019,
- When an author fails to register or cancel their registration without being replaced by another full registered author, her/his paper will not be published in the proceedings.
Refunds will be made in the following ways:
- For payments received by credit or debit cards, the same credit/debit card will be refunded,
- For all other payments, a bank transfer will be made to the payee nominated account.
Workshops and tutorials
Given that workshop and tutorial registrations are by day and not by event, in case of cancellation, registrants can attend any other event that takes place at the same time.
Visa Issues
No refund will be given for visa refusal. Therefore, we highly recommend starting the visa application process earlier than registration dates. Letters will be provided (see visa section on the web site).
Registration Policy – Summary of answers to frequently asked questions
This section clarifies the registration policy and answers some questions you might have regarding your status as an author of an accepted paper, workshop or tutorial organizer vs. the registration type you should choose. In the following, first, we state the general rule, then the exceptions.
Q1) I have a paper accepted at one of the tracks of the main conference
Whatever the conference track, i.e.:
- research,
- industry
- demonstrations and tools,
- journal first,
- challenge cases,
- challenges solutions,
your paper is scheduled for the main conference: you must pay at least a full registration for that paper among the following options (according to how you are planning to attend SPLC):
- Main conference,
- Main conference + 1-day workshops/tutorials,
- Main conference + 2-day workshops/tutorials.
NB1.1: This rule applies regardless of whether you are a co-author of several papers in different tracks: each paper must be considered separately.
NB1.2: If you are co-author of papers across the main conference and workshops, please refer to Q3.
NB1.3: This rule does not apply to artifacts track where each artifact is related to a research paper.
NB1.4: if you are a student, you are entitled to the student without paper fee only if:
- you are not a co-author of any paper presented at the conference,
- there is already another full registration for (each of) your paper(s).
NB1.5: if you are a student and been granted the student without paper registration, it gives you access to the main conference ONLY (with Gala Dinner and the City Tour). It does not provide you with access to the workshops or the tutorials. If you want to also attend some workshops or tutorials, please choose an additional registration among the following:
- ½-day workshops/tutorials,
- 1-day workshops/tutorials,
- 2-day workshops/tutorials.
Alternatively, in this case, and if you still want to attend both the conference and some workshops/tutorials, you can give up the student discount, and choose among the following options instead:
- Main conference + 1-day workshops/tutorials
- Main conference + 2-day workshops/tutorials
Q2) I have a paper accepted at one of the (or several) workshops
Your paper is scheduled for one of the workshops: you must pay at least a full registration for that paper among the following options (according to how you are planning to attend SPLC):
- ½-day workshops/tutorials,
- 1-day workshops/tutorials,
- 2-day workshops/tutorials,
- Main conference + 1-day workshops/tutorials,
- Main conference + 2-day workshops/tutorials.
NB2.1: If you have several papers accepted at workshops organized the same day where you will present them, you can choose the 1-day workshops/tutorials registration (or any other option listed above that suits you best).
NB2.2: If you have several papers accepted at workshops spread across Monday and Tuesday, you can choose the 2-day workshops/tutorials (or any other option listed above that suits you best).
NB2.3: If you are co-author of papers across the main conference and workshops, please refer to Q3.
NB2.4: if you are a student and only attending workshops or tutorials, you are not entitled to the student without paper fee for workshops or tutorials. This rule applies regardless of whether you have an accepted paper(s) at a workshop(s). You should then choose one of the options listed above that suits you best.
Q3) I have several papers accepted at the main conference and workshops
You have to choose among the following options:
- Main conference + 1-day workshops/tutorials,
- Main conference + 2-day workshops/tutorials.
NB3.1: If your workshop papers are scheduled across Monday and Tuesday, then you should choose the Main conference + 2-day workshops/tutorials registration.
NB3.2: If your workshop papers are scheduled the same day, then you should choose the Main conference + 1-day workshops/tutorials registration (or the other option listed above if it suits you best).
NB3.3: If you have several papers at the main conference and at workshops, any of the two options above covers only one paper at the main conference. You should then have a co-authors of each of the remaining papers register for the main conference.
Q4) I am an organizer of an accepted workshop or tutorial
SPLC 2019 offers complimentary free registration to one of the workshops or tutorials organizers. Each of the other organizers should choose among the following options (according to how they are planning to attend SPLC):
- ½-day workshops/tutorials,
- 1-day workshops/tutorials,
- 2-day workshops/tutorials,
- Main conference + 1-day workshops/tutorials,
- Main conference + 2-day workshops/tutorials.
NB4.1: If you are a workshop/tutorial organizer and also a registered author for an accepted paper at the conference or a workshop, you have to choose:
- whether you use the benefit of the complimentary free registration as a workshop/tutorial organizer,
- or let another co-organizer benefit from it.
Q5) Could you show me the application of the policy through some examples?
Q5.1) I’m a PhD student, and have a paper accepted at workshop XYZ. Which option should I choose for the registration?
Several options apply to your case.
-
- a) If you plan to attend only the workshop XYZ, then you have the following registration options:
- 1/2-day workshops/tutorials
- 1-day workshops/tutorials
- b) If you plan to attend several workshops across Monday and Tuesday — and only the workshops, then the following applies:
- – 2-day workshops/tutorials
- c) If you plan to attend the conference in addition to the workshop XYZ (and possibly others the same day), then the following option applies:
- Main Conference + 1-day workshops/tutorials
- d) Finally, if you plan to attend the conference and several workshops across Monday and Tuesday, then the following option applies:
- – Main conference + 2-day workshops/tutorials.
- a) If you plan to attend only the workshop XYZ, then you have the following registration options:
NB5.1.1: You are not entitled to the discounted fee for students in this case (Main Conference, Student without paper), since it only applies to the main conference. If you want to go for the discounted fee nevertheless, please note that it does not give you access to any of the workshops/tutorials (see NB1.5).
Another registration by one of your co-authors must then cover the workshop XYZ for your paper.
Q5.2) I’m a student and have a paper in the XYZ workshop. I would like to join the conference and attend the Gala Dinner and the City Tour, which type of registration can I choose?
You have two options from which you can choose:
-
-
- Main conference + 2-day workshops/tutorials
- Main Conference + 1-day workshops/tutorials
-
The minimal option to choose is Main conference + 1-day workshops/tutorials. It will give you access to your workshop and the conference, Gala Dinner and the City Tour.
N5.2.1: The student without paper registration type will NOT allow you to attend any workshop or tutorial; that only applies to the main conference.
